Payment
To confirm your booking, the applicable fee must be paid in full at the time of booking. If payment is not received, your place will not be guaranteed or reserved, and we may assume you wish to cancel the booking. Unless another agreement is made, all arrangements will be terminated.
Cancellation Fees
More than 21 days before the tour date: 100% refund.
21 – 14 days before the tour date: 50% refund.
14 days or less before the tour date: No refund. Be in Japan is not responsible for cancellation conditions or fees imposed by third-party tour agencies or companies through which services are booked.
Limitation Of Liability
Be in Japan and its employees provide services and are not liable for theft, bodily harm, or delays caused by events beyond our control, including but not limited to natural disasters, strikes, pandemics, or government restrictions. Participants agree to have appropriate insurance coverage and release Be in Japan from liability for direct or indirect economic or personal loss.
Changes to itinerary
Be in Japan reserves the right to modify or cancel the itinerary due to unforeseen circumstances, including weather, road conditions, or events beyond our control. Any significant changes will be communicated as soon as possible.
Additional Costs
Participants are responsible for additional expenses not explicitly included in the service, such as entrance fees, food and drink, or transportation outside of the agreed itinerary.
Travel Insurance
Travel insurance is highly recommended for all participants. It should cover personal injury, illness, loss of property, and cancellations. Be in Japan is not responsible for any financial loss, including trip interruptions or unforeseen expenses.
Health and Safety
Participants must assess their own health and fitness prior to booking. By booking, participants confirm they are fit to join the service. Be In Japan expects participants to follow all safety instructions provided during the tour.
Child Policy
Children are very welcome on select tours. Please check specific age requirements before booking. All children must be supervised by a parent or guardian at all times. Pricing may vary depending on the child’s age.
Force Majeure
Be in Japan shall not be held liable for delays, cancellations, or inability to deliver services due to events beyond our control, such as acts of God, natural disasters, government restrictions, or other force majeure events.
Weather Conditions:
Tours proceed regardless of weather conditions. If Be in Japan deems it necessary to cancel a service due to severe weather, participants will receive a refund.
Physical Requirements:
Our services often include walking. Be in Japan reserves the right to terminate services without refund if participants are unfit for the activity or disrupt the experience for others.

Damages and Legal Liability
Participants are responsible for any damages caused during the tour and must cover associated costs immediately. Participants are also liable for any claims made against Be in Japan as a result of their actions.
Termination Of Agreement
Be in Japan reserves the right to expel any participant or terminate agreements if the participant violates local laws, acts belligerently, endangers others, or behaves in a manner detrimental to Be in Japan’s reputation or the experience of others.
Acknowledgement and Agreement
By booking, participants acknowledge that they have read, understood, and agree to these terms and conditions.

Service Scope
Be in Japan currently offers bespoke itinerary planning services. This includes research, consultation, recommendations, and the preparation of a tailored travel plan. We do not book or sell flights, accommodation, or third-party activities directly. You are responsible for making your own reservations based on the itinerary we provide.
Payment
To confirm your itinerary planning service, the full fee must be paid at the time of booking. If payment is not received, your planning session will not be guaranteed or scheduled, and we may assume you wish to cancel. Unless otherwise agreed in writing, all arrangements will be terminated.
Cancellation Fees
– More than 21 days before scheduled delivery: 100% refund
– 21-14 days before delivery: 50% refund
– 14 days or less before delivery: No refund
Please note that once we begin working on your itinerary, a portion of the fee may be non-refundable based on time already invested. Tours proceed regardless of weather conditions. If Be in Japan deems it necessary to cancel a service due to severe weather, participants will receive a refund.
Service Limitations
Be in Japan is not responsible for bookings, availability, or terms and conditions imposed by any third-party providers, including hotels, transport services, restaurants, or attractions listed in your itinerary. We recommend you confirm all details with each provider.
Limitation of Liability
Be in Japan provides planning services only and cannot be held liable for any injury, loss, delay, or damages arising from your trip, including those caused by third-party providers, weather, natural disasters, political events, or illness. You agree to seek your own travel insurance and acknowledge that we are not liable for direct or indirect economic or personal loss.
Changes to Itinerary
We reserve the right to make reasonable changes to your proposed itinerary in response to new information or availability issues. Any substantial changes will be discussed with you in advance.
Travel Insurance
We strongly recommend that you obtain comprehensive travel insurance that includes cover for medical emergencies, cancellations, lost property, and trip disruptions.
Health and Safety
You are responsible for determining your own fitness and health suitability before undertaking any trip. By using our services, you confirm that you are medically and physically fit to undertake the activities described.

Intellectual Property
All itinerary content provided by Be in Japan, including suggestions, layouts, and research, remains the intellectual property of Be in Japan. It may not be copied, reproduced, or resold in any form without written permission.
Client Responsibility
It is your responsibility to:
– Confirm all third-party reservations independently
– Ensure you hold valid travel documents (passport, visa, insurance, etc.)
– Notify us of any accessibility or dietary needs when relevant to itinerary

Governing Law and Jurisdiction
This agreement is delivered from and governed by the laws of England and Wales. Any dispute arising from these services will be subject to the jurisdiction of the English courts. This service is delivered from the United Kingdom and governed by UK law. Be in Japan provides planning advice and recommendations only. We are not responsible for services delivered by third-party providers in Japan.
